Description
1. Answer incoming calls and welcome visitors to the Agency, directing them to the correct department, staff member, or external agency as needed.
2. Serve as a liaison between individuals seeking assistance and community resources.
3. Keep an updated directory of local agencies and their services, ensuring information is accurate and easily accessible.
4. Manage the agency's postage meter operations by logging all incoming and outgoing mail, determining postage needs for outgoing correspondence, and preparing monthly usage reports.
5. Maintain a current listing of in-house contact numbers for staff members.
6. Ensure compliance with federal and state law poster requirements by keeping necessary postings up-to-date within the agency.
7. Receive employment applications, review them for completeness, and forward to the appropriate human resources personnel.
8. Work with human resources staff to verify employee employment status when necessary.
9. Organize and maintain filing systems for records in the Human Resource Department as well as other departments when required.
10. Operate office equipment efficiently for copying, faxing, and using the automated postage machine as needed.
11. Oversee the issuance and collection of identification badges for both staff members and visitors.
12. Manage visitor check-in/out procedures by ensuring all guests sign designated logs upon entering or exiting the facility.
Requirements
Education and Experience: High School Diploma or GED required, with a minimum of two (2) years of experience in receptionist, clerical, and telephone roles.
Communication Skills: Strong verbal and interpersonal skills are essential for effective interaction with clients and team members. Good overall communication abilities are necessary to convey information clearly.
Personal Attributes: A pleasing personality combined with initiative and a positive attitude is crucial for creating a welcoming environment.
Community Knowledge: Familiarity with community resources and Caddo Parish neighborhoods is beneficial for effectively assisting clients .
Technical Proficiency: Basic computer skills are helpful; proficiency in using office equipment, such as computers, copiers, calculators, fax machines, and multi-line phone systems is required.
